Official Event Photographers
Professional photographers for Kickoff Events Ltd. will be present throughout the event, Pre Tournament Team photographs will be taken as well as capturing action and atmosphere on the pitches, and finishing with the presentation ceremonies. 
Pre-Tournament Team photographs will be sent to the Team organiser a few days after the event. 
Action and atmosphere photographs and videos are for promotional purposes. They may be shared with local and other media outlets for future promotional use.

If you prefer not to have official photographs or videos taken of your team during the event, please contact us at info@kickoffevents.co.uk before the event begins.

Personal Photography
If members of your group wish to take personal photos or videos during the event, your team coach must first obtain permission from the opposing team's coach before the fixture begins. Photography or videography is only allowed if both teams agree. If either team objects, no photos or videos may be taken.

Photography is a valuable tool for promoting our events and celebrating the achievements of our participants. However, we are equally committed to ensuring the privacy and safety of all individuals, particularly children and young people. This policy outlines our approach to the use of photography and videography at our events in the UK and Europe.

Scope

This photography policy applies to all employees, volunteers, contractors, and external photographers working with Kickoff Events as well as Parents and spectators. It covers all forms of photography and videography, including images captured on smartphones, cameras, and other digital devices during our football tournaments and tours.

Purpose

• To ensure that photography and videography are conducted in a safe and respectful manner.
• To protect the privacy and rights of children, young people, and their families.
• To outline procedures for obtaining consent and using images appropriately.

Key Principles

• Respect for Privacy: The privacy of all participants, particularly children, will be respected at all times. No photographs or videos will be taken or published without appropriate consent.
• Consent: Written consent will be obtained from parents or guardians by way of team managers before photographing or filming any child or young person. This consent will specify how the images may be used.
• Appropriate Use: Photographs and videos will be used solely for the purposes stated in the consent form, such as marketing, promotional materials, or social media posts related to our events.
• Safety: All photography and videography will be conducted in a manner that ensures the safety and dignity of the subjects.

Consent Procedures

• Parental/Guardian Consent: For participants under 18, a parental or guardian consent form must be completed before any photography or videography takes place. The form will outline the intended use of the images and provide options for parents to consent or decline specific uses.
• Participant Consent: Participants over the age of 18 will be asked to provide their own consent. They will have the same rights to accept or decline the use of their images.
• Opt-Out Option: Participants and their guardians will be given the option to opt-out of being photographed or filmed. This will be clearly communicated during the registration process, and opt-out individuals will be identified discreetly to ensure their wishes are respected.

Photography Guidelines

• Professional Conduct: Photographers and videographers must act professionally and respect the wishes of participants at all times. They should avoid taking intrusive or inappropriate images.
• Group Photos: When photographing groups, care will be taken to ensure that all individuals have given their consent to be included. If any participant has opted out, alternative arrangements will be made.
• Use of Images: Images will only be used for the purposes specified in the consent form. They will not be shared, or used in any context that was not agreed upon.
• Reduce the risk of images being copied and used inappropriately by:- Only using images of children/young people in appropriate clothing.
• - Using images that positively reflect young people’s involvement in the activity.

Social Media and Online Sharing

• Controlled Sharing: Images shared on social media or online platforms will be carefully selected to ensure they are appropriate and respectful. Personal information, such as names or contact details, will not be shared alongside images without explicit consent.
• Tagging and Identification: Only using the first names of children or young people whose images are being used in our published material, whenever possible.

• Reporting Issues: If any participant or parent has concerns about photography or videography at our events, they should contact Kickoff Events Safeguarding Designated immediately. All concerns will be taken seriously and addressed promptly.
• Removal of Images: If a participant or parent requests that an image be removed from our platforms or materials, we will do so as quickly as possible. it may not be possible to delete images that have already been shared or published.

Review and Monitoring

• Regular Review: This photography policy will be reviewed annually to ensure it remains effective and compliant with current laws and best practices.
• Feedback: We welcome feedback from participants and parents on our photography practices to help us continually improve.
